Penn Medicine has grown its LabVantage installation from a fresh install to a system supporting nearly fourty different research groups and tracking a million samples. The system has continued to grow and expand each year to meet a variety of laboratory needs at Penn Medicine covering a range of activities from biobanking to collection kit inventory and assignment to sample processing. Our LIMS team has grown each year as well, and we have added team members with a variety of skills and backgrounds to meet these growing needs. This presentation will discuss how our processes and skill mix have evolved over time to meet the unique needs of supporting a LIMS system in an academic medical center.

As the pharmaceutical industry pursues efficiency and time becomes our biggest competitor, Catalent Pharma Solutions recognized the need to adopt a standard LIMS and deploy it for all our laboratories. In this endeavor we partnered with LabVantage, selecting their pharma package for use across Catalent and leveraging their documentation and verification suite to support our validation effort. As we have worked through deployments, upgrades, and expanding functionality, we have identified issues and learned how to improve our process. It has showcased the benefits that come from using the latest version offered, developing a strong business case with buy-in from the affected stakeholders, and deploying it via a strategic plan. The lessons we have learned provide a standard approach that can provide guidance and improve confidence when planning, justifying, and implementing a deployment of LV LIMS.

In a GMP laboratory environment, comprehensive documentation of laboratory experiments executed according to defined methods and standard operating procedures is mandated by regulatory requirements.  Traditional LIMS offers efficiencies for managing samples and workflows and eliminating transcription of data from instruments. But for a GMP lab, massive amounts of paper are still required to adequately document and control an experiment. The LabVantage Laboratory Execution System (LES) is a powerful tool designed to take the place of paper procedures and data collection forms used in GMP laboratory testing processes. The Global Head of IT for the Life Sciences division of a major CRO shares challenges, lessons learned and best practices from the experience implementing LES for a global network of Life Sciences labs.

California Water Service (Cal Water) Water Quality lab has been utilizing LabVantage LIMS software since 2004. In 2017, Cal Water embarked upon an upgrade effort to modernize their LIMS software and provide a platform to enable continuous improvement by leveraging new features and functions of the LIMS. The upgrade was completed June 2019. The new LabVantage software is leveraged by Cal Water’s water quality lab to streamline sample receiving, improve chain of custody tracking and data management, provide capability for mobile access to water quality sampling requests and data capture, reduce cyber vulnerabilities, and ensure compliance with drinking water regulatory requirements.

Many LIMS implementations focus on data intake and storage, however, the most impactful aspect of a LIMS system for users is the ways in which data are used and communicated out of the system. This presentation will focus on two separate ways in which data from LabVantage is communicated back to the laboratory and laboratory management. The first focus will be on the ways in which information is communicated to laboratory users including the use of sample labels and email notifications. The second focus will be on the ways that reporting is used to provide information to both the laboratory management to track metrics and costs as well as communication to the LIMS administrators to proactively detect issues and resolve them before users even knew that they existed.
