SAP Sales Support

Job Description

As part of the Sales Support team, this role will be responsible for all data entry into SAP for new orders in a timely and efficient manner. It is anticipated that this responsibility will require 70% of the employee’s utilization. This responsibility will include but is not limited to the following:

Primary Job Objectives 

SAP

  • Record global monthly bookings of software and services in SAP and compiling reports, as needed, for the Executive Team. This includes: o New account creation in SAP
  • New sales order creation in SAP-New project creation under Project Management tab in SAP for each new services and training order
  • Tracking all new orders, change requests, new customer corporate accounts
    • Ensure that all the proper paperwork has been submitted to process an order
      • This includes but is not limited to the Contract, Mutual Non-Disclosure Agreement; Schedule A, Statement of Work Document (SOW), Purchase Orders (PO), etc.
  • Tracking all GSA and JBoss orders for quarterly reporting
  • Tracking all debookings
  • Review and synchronization with Salesforce.com
  • Liaison with finance for bookings, debookings, PO’s.
    • Distribute hard and/or soft copies of all completed contracts
    • Generating PO’s in SAP for all third party Software Sending PO’s to 3rd party vendors for fulfillment
  • Third party SW shipment follow-up
  • Liaison with PSO:
    • Communication of new orders booked – this is done via email notification at the end of the bookings process
    • Confirmation of services details from sales order, including project plans and Time &Material (T&M) vs. Fixed Price
    • Confirmation/clarification of SOW reviews (required signatures)– part of the order process
    • Confirmation/follow-up on debookings
  • Liaison with Support
    • Communication of new orders that include Software and/or Support and Maintenance.
  • Generating all software requests for new software orders, globally.
    • Entry of orders into VantageCare (VC) for tech service fulfillment
    • Creation of customer welcome kits for all new customers to be sent with initial software shipment.
    • Following up to ensure software is shipped in a timely manner, as well as, tracking software shipments. (this includes 3rd Party software)

SALES

Objective: To provide support to the Global Sales and Sales Support Teams. It is anticipated that this will require 30% of the employee’s utilization. The responsibilities include but are not limited to the following:

  • Assist in ensuring all new software, services and training orders have a corresponding opportunity in current CRM (Salesforce.com) for tracking purposes
  • Supporting the Global Sales Team when necessary
  • Ad-hoc projects for Sales Support

Job Qualifications Necessary

  • High school Diploma required and some college courses preferred
  • Must be comfortable working independently as well as coordinating with top-executives
  • Proficient in MS Office software
  • Strong attention to details
  • Must possess strong technical documentation, organization and multitasking skills.
  • Excellent oral/written communication skills
  • Strong Analytic and Problem solving skills
  • Excellent customer relations skills
